This policy explains what information VM Heating & Cooling Services collects when you contact us, request service, or visit our website and the choices and rights you have, including your rights as a California resident.

Effective date: 06/11/2026. Last updated: 06/11/2026  Service area: SF Bay Area & Greater Sacramento, CA

01 Who we are

VM Heating & Cooling Services ("VM Heating & Cooling," "we," "us," or "our") is a licensed HVAC and plumbing contractor serving residential and commercial customers across the San Francisco Bay Area and Greater Sacramento regions of California. We operate under California State License Board (CSLB) license number 1102833. This Privacy Policy describes how we handle personal information collected through our website, by phone, by text, by email, and in the course of providing estimates, service, installations, and repairs.

02  Scope of this policy

This policy applies to personal information we collect from prospective and current customers and visitors to our website. It does not apply to information handled solely on behalf of our business clients under a separate agreement, or to third-party websites or services we may link to. If you apply for a job with us, additional or different privacy terms may apply to your application information.

 03 Information we collect

We collect information you provide directly, information about your service location and equipment, payment information processed through our service platform, photos and media from job sites, and information collected automatically when you use our website.

Categories of personal information

The table below lists the categories of personal information — as defined under the California Consumer Privacy Act (CCPA), as amended by the CPRA — that we have collected in the past 12 months, and whether we disclose each category to advertising partners for cross-context behavioral advertising ("sharing").

Sensitive personal information

We do not collect sensitive personal information (such as government ID numbers, financial account login credentials, precise geolocation, or health information) for the purpose of inferring characteristics about you. Payment for our services is processed through our service-management platform and its payment provider; we do not store full payment card numbers on our own systems.

04 How we collect it

We collect personal information from the following sources:

  • Directly from you — when you submit a form on our website, call or text us, email us, request an estimate, or speak with our team during a visit.
  • Automatically — through cookies and similar technologies when you use our website (see Cookies & tracking technologies).
  • During service — when our technicians document equipment, conditions, and completed work at your property.
  • From service providers — such as our estimating, scheduling, invoicing, and payment platform, and our advertising and analytics partners.

05 How we use your information

We use personal information to operate our business and serve you, including to:

  • Respond to inquiries and provide estimates, scheduling, and customer support;
  • Perform HVAC and plumbing services, including pulling permits and coordinating inspections;
  • Prepare contracts, invoices, and process payments;
  • Communicate with you about appointments, service, and your account, including by phone, text, and email;
  • Send maintenance reminders, membership plan information, and promotional offers (where permitted, and which you can opt out of);
  • Maintain records, document completed work, and support warranty and inspection needs;
  • Operate, secure, analyze, and improve our website and advertising;
  • Comply with legal, regulatory, licensing, and tax obligations, and enforce ou

06 Cookies & tracking technologies

Our website uses cookies and similar technologies to function properly, understand how visitors use the site, and measure and deliver advertising. These include:

  • Strictly necessary cookies that enable core site features.
  • Analytics cookies, such as Google Analytics, that help us understand site traffic and performance.
  • Advertising cookies and pixels, such as Google Ads and the Meta (Facebook) Pixel, that help us measure ad performance and show relevant ads on other platforms.

Because our advertising partners may receive online identifiers and activity through these technologies to deliver ads across other websites and apps, this activity is considered "sharing" for cross-context behavioral advertising under California law. You can control this — see Do Not Sell or Share My Personal Information.

07 How we share information

We do not sell your personal information for money. We disclose personal information in the following ways:

Service providers

We share information with vendors that perform services for us under contract, such as our estimating, scheduling, invoicing, and payment platform, our payment processor, communication and email providers, equipment and parts suppliers when needed to fulfill your order, and hosting and analytics providers. These providers may use the information only to perform services for us.

Advertising and analytics partners

As described above, we share online identifiers and website activity with advertising and analytics partners (such as Google and Meta) for cross-context behavioral advertising and measurement.

Legal and safety

We may disclose information to comply with the law, respond to lawful requests, enforce our agreements, or protect the rights, property, and safety of our customers, our company, and others. We may also disclose information in connection with a business transfer such as a merger or sale of assets.

10 Do Not Sell or Share My Personal Information

We do not sell your personal information for money. However, our use of advertising and analytics technologies is considered "sharing" for cross-context behavioral advertising under California law. California residents have the right to opt out.

We keep personal information for as long as needed to provide our services, maintain business and warranty records, and comply with legal, licensing, tax, and accounting obligations. Retention periods vary by the type of information and the purpose for which it was collected. When information is no longer needed, we take reasonable steps to delete or de-identify it.

12 Data security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

16 Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be highlighted on our website. Your continued use of our website or services after an update means you accept the revised policy.
